What the app does

Shortlist is a career workspace for iPhone and iPad. You build a profile of your career once, then choose the right evidence from it for each job you apply for.

• Import a CV as a PDF, Word document or text file, keep the original and check what was found before it joins your profile
• Record your roles, achievements, projects, skills, education and certifications, with guided questions that bring out the detail a CV leaves out
• Save the jobs you're interested in, track each application and see where your experience matches a role's requirements
• Create CVs from the facts you've confirmed, edit them, and export them as A4 PDFs in three styles
• An optional account for private cloud backups, and optional AI help that only runs when you allow it

Frequently asked questions

Do I need an account?

No. Everything in Shortlist works on your device without signing in. An account is only needed for private cloud backups, which you can use to restore your workspace on another iPhone or iPad.

What is the sample workspace?

Shortlist opens with a fictional sample career, so you can look around before adding anything of your own. Changes to the sample last only until you close the app. When you're ready, open You and choose Open my own workspace. Your own information and the sample are always kept separate.

How do I import my CV?

In Career, choose Import CV and pick a PDF, a Word document (.docx) or a text file of up to 20 MB. Shortlist reads it on your device and keeps the original with your profile. For a scanned PDF it recognises the text on your device, for up to 20 pages; check the recognised text against the original. With cloud intelligence turned on, Shortlist can suggest the roles, achievements and skills it finds for you to review; nothing is added to your profile until you confirm it. Without it, you can preview the document and add the details yourself.

What is cloud intelligence, and how do I turn it on?

Some features use Google's Gemini models through Firebase: reading an imported CV automatically, analysing a job description, tailoring a CV to a job, and rewording a statement when your device can't do it on its own. Cloud intelligence is off until you turn it on in You → AI & privacy → Allow cloud intelligence. Text is only sent when you ask for one of these features. The privacy policy explains exactly what is sent.

Why does Shortlist ask me questions?

Guided questions help you add the results and responsibilities a CV often leaves out. Your answer is saved in your own words once you have reviewed and confirmed it.

How does Shortlist compare me with a job?

Save a job with its description in Jobs, then choose Analyse this role. Shortlist lists the role's requirements and shows, for each one, whether your confirmed career facts give strong evidence, some evidence or none. It shows evidence rather than a match percentage, and it is a guide to what to bring forward, not a judgement of whether you will get the job.

How do I create a CV?

In CVs, choose Create a new version, pick the job, a style, an emphasis and a length. Shortlist can build the CV on your device from all your confirmed facts, or, with Tailor with cloud intelligence, choose the facts most relevant to the job. Either way, a CV only ever contains statements you have confirmed.

Can I edit a CV?

Yes. Open a CV to edit, reorder, hide or lock any statement, or to change its style and page limit. When you edit a statement, Shortlist asks you to confirm the new wording and saves it to your profile as evidence. Refresh from confirmed career facts rebuilds the CV from your latest profile and keeps locked statements exactly as they are.

How do I export a PDF?

Open a CV and export it. Shortlist makes an A4 PDF with selectable text in the SHORTLIST, Professional or Minimal style, and you can share or save it from the share sheet. If the content doesn't fit the page limit you chose (one page or two), Shortlist tells you instead of cutting anything off: hide some statements, or choose a longer length.

Is my workspace backed up?

Not automatically. Your Shortlist workspace is kept on your device and is not included in iCloud or computer backups of your iPhone or iPad. To keep a copy, sign in under You → Account and choose Back up this workspace; do this again whenever you have made changes you want to keep. Each backup replaces the previous one. You can also use Export career profile in You for a copy of your profile as a JSON file, which does not include your original documents.

How do I move to a new iPhone or iPad?

Back up your workspace on the old device, then sign in to the same account on the new one and choose Restore cloud workspace. Restoring keeps the workspace that was already on the new device as a recovery copy. If Shortlist says the cloud backup changed on another device, choose Refresh cloud status before backing up again, so you don't overwrite newer work.

I forgot my password

In You → Account, enter your email address and choose Reset password. If an account exists for that address, you'll receive an email with a link to choose a new password.

SHORTLIST+

The free plan includes one active CV. SHORTLIST+ lets you keep several tailored CVs at once. It is available as a monthly or yearly subscription, renewed automatically through the App Store, or as a 30-day pass that doesn't renew. Prices are shown in the app before you buy. To cancel a subscription, open the Settings app, tap your name, then Subscriptions, at least 24 hours before it renews. Use Restore purchases in You → SHORTLIST+ after reinstalling or changing device. Refunds are handled by Apple at reportaproblem.apple.com.

How do I delete my information?

You can remove a role from your career profile, or delete a CV from inside it. To delete your account, open You → Account, enter your password and choose Delete account and cloud data: this permanently removes your account, your cloud backup and the documents stored with it. The workspace on your device stays until you remove the app. Removing the app deletes everything Shortlist keeps on that device, and because it isn't in your device backups it can't be recovered, so back up or export first if you want to keep it. If you can't sign in to delete your account, email us from the address you used and we'll delete it for you.

Is Shortlist careers advice?

No. Shortlist helps you organise your own experience and present it well. You are responsible for checking that every CV you send is accurate.

Requirements

Shortlist runs on iPhone and iPad with iOS 26 or later. On-device rewording needs a device that supports Apple Intelligence. Cloud intelligence, accounts and backups need an internet connection.
