What the app does
Graft is bookkeeping for sole traders in the trades who need to keep digital records for HMRC's Making Tax Digital for Income Tax.
- Scan a receipt with the camera, log a job by voice, share in an invoice from another app, or tap in an amount
- Graft reads each item on your iPhone and files it under the right HMRC expense category; anything it isn't sure about waits in a short review list
- A ledger of money in and money out, with duplicate checks and an edit history for every entry
- Quarterly updates shown exactly as HMRC will receive them, checked with you and confirmed with Face ID before they are sent
- Deadline reminders, widgets and a Live Activity countdown
- An export for your accountant
Frequently asked questions
Do I need Making Tax Digital?
Making Tax Digital for Income Tax applies to sole traders and landlords in stages: from 6 April 2026 if your qualifying income is over £50,000, from 6 April 2027 if it is over £30,000, and from 6 April 2028 if it is over £20,000. GOV.UK explains who needs to sign up and how.
Do I need an account?
No. Graft has no account of its own. You can record income and expenses straight away. When you are ready to send updates, you connect Graft to HMRC with the Government Gateway user ID you use for Self Assessment.
How do I connect Graft to HMRC?
First sign up for Making Tax Digital with HMRC (Graft's checklist walks you through it, or use HMRC's sign-up service). Then choose to connect in Graft. You sign in on HMRC's own page, so Graft never sees your password. You will also need your National Insurance number, which is on your payslips, your P60 or in the HMRC app.
Graft says it can't reach HMRC
Check your signal and try again. If HMRC didn't reply in time, sending the update again is safe: it replaces what HMRC has. If a problem keeps coming back, email us with the reference code Graft shows.
Graft asks me to connect again
HMRC lets an app stay connected for up to 18 months, and sometimes ends a connection sooner. Connect again with the Government Gateway user ID you use for Self Assessment; your records are not affected.
How does Graft file my receipts?
Graft reads each receipt and voice note on your iPhone and fills in the amount, date, category and who was paid. Items it is confident about are filed for you, with an undo; anything it is unsure about goes to the review list. Automatic filing needs an iPhone that supports Apple Intelligence. On other iPhones every item goes to the review list with the text already filled in for you to check.
Logging jobs by voice doesn't work offline
Voice notes are transcribed on your iPhone, which needs Apple's English speech model. It downloads once the first time you log by voice, so do that while you are online. Allow microphone and speech recognition for Graft in the Settings app if you turned them off.
A deadline reminder didn't appear
Reminders are local notifications, sent 14, 7 and 2 days before each deadline. Allow notifications for Graft in the Settings app and check that a Focus mode isn't silencing them.
Graft Pro
Capturing receipts and keeping your ledger are free. Sending quarterly updates to HMRC needs Graft Pro, an auto-renewing subscription billed monthly or yearly through the App Store, with a two-week free trial. Prices are shown in the app before you subscribe. To cancel, open the Settings app, tap your name, then Subscriptions, at least a day before it renews. Use Restore purchases in Graft's Settings after reinstalling or changing iPhone. Refunds are handled by Apple at reportaproblem.apple.com.
How do I send my records to my accountant?
In Settings, choose Export for your accountant. Graft makes a spreadsheet and a PDF for the tax year you pick, which you can share however you like. Receipt photos stay in the app and are not included.
How long should I keep my records?
HMRC requires you to keep business records for at least five years after the 31 January submission deadline for each tax year. Your records are on your iPhone, so keep it backed up and export a copy each year. Records that have been sent to HMRC can't be changed in Graft.
Can I change or delete an entry?
Yes, until it has been sent to HMRC. Open the entry to change its amount, date, name, category, how it was paid or its note, or choose Delete entry. In the ledger you can also swipe left to delete, and in To check there is a delete button on the top card. Each change shows an Undo. Entries that have been sent to HMRC are locked and can't be changed or deleted in Graft.
How do I disconnect or remove my data?
In Settings, choose HMRC connection and then Disconnect from HMRC; this deletes our copy of your connection straight away. Entries that haven't been sent to HMRC can be deleted one at a time, and removing the app deletes all the records on your iPhone, so export anything you need to keep first. If you removed Graft without disconnecting, email us and we will delete the connection for you.
Is Graft tax advice?
No. Graft is bookkeeping software that helps you keep digital records and send your updates. For advice about your own tax, speak to an accountant or to HMRC's Self Assessment helpline.
